Start with one folder rule
Choose folders that match how you look for things: a project, a trip, or a month. A small, consistent system is easier to keep up than a large filing tree.
Capture while the page is in front of you
Place the receipt on a flat surface with even light. Check every edge and make sure the important details are readable before saving.
Name it for your future self
A useful filename combines a date and a recognizable subject. “2026-10-21 office supplies” is easier to find later than an unnamed scan.
Make a quick review part of your routine
Open your folder at the end of the week. Check that the files are readable and in the right place, and keep original paperwork when required for your records.
